Your Keck Medicine 5-Star experience begins the moment you accept your offer to join our organization. As part of our commitment to you, our pre-boarding process is designed to make your first experiences within our community, as efficient as possible. Whether you’re working at one of our four hospitals or more than 100 clinics, you’ll receive an email from your Orientation Specialist detailing the information required and steps you need to take prior to your first day. You’ll also receive a copy of your job description for initial review, as you’ll also receive a hard copy for acknowledgement on your first day.

The pre-boarding process may vary slightly depending on your work location. Be sure to review the emails you receive from our team and the required documents carefully to avoid a delay in your first day of employment. Check your email frequently during this period to ensure you receive updates and more information. If you do not receive an email from Keck Onboarding by Wednesday of the week prior to your start date, please reach out to us at KeckOnboarding@med.usc.edu.
Your first day within the Keck Medicine of USC community begins with the New Hire Welcome. During this full day event, you will gain insight into our organization, including our mission, values, and vision for the future. We will also provide you with the tools and resources necessary to help you thrive in your new role and contribute to our continued success.
Here’s a sample of what you can expect during your New Hire Welcome:
Attendance to the full day of the New Hire Welcome is required. The attire for the day is business casual or scrubs, however we ask that you check with your Orientation Specialist to confirm the appropriate attire for your work location. For specific details regarding parking for the various work locations, please review the FAQs.
Prior to your start date, you will receive an email from your manager and/or Orientation Specialist with a personalized training schedule based on your new role. This detailed schedule will include the dates, times, and format of each training session. If you’re an employee living out of state and are 100% remote, we offer remote orientation schedules.
After you’ve completed the New Hire Welcome, you will begin your first 30 days at Keck Medicine of USC with a series of trainings, including in-person sessions, remote sessions, and self-guided modules through HealthStream. The specific training you will complete is tailored based on your job title, department, and work location, ensuring that you receive the most relevant and impactful information for your role.
Additionally, you’ll receive information from our Total Rewards team to ensure you complete your New Hire Benefits Enrollment within your first 30 days.

General Questions
How do I contact my manager before I start?
Your hiring manager will be copied in the orientation email sent to you with Day 1 instructions as well as your onboarding schedule. Please reply to that email to contact your manager with any questions.
How do I order my scrubs?
If scrubs are required for your position, you will receive an email with instructions on how to order your scrubs. This email will come from your recruitment coordinator on or after your first day. If you have additional questions regarding scrubs, an HR coordinator will be able to assist you on Day 1.
When will I receive my scrubs?
Scrubs can take between 2-4 weeks to be delivered.
VHH: Once delivered, you will receive an email from USC VHH HR notifying you that your scrubs can be picked up in the HR Office.
How do I request additional badge access?
KMC: All new hires will receive general door access. If there are specific areas of access that are needed. Please email AccessManagement@med.usc.edu and copy your manager.
VHH: Your badge will be provided to you on your first day. Photos will be taken during your HR appointment visit.
How will I receive my hardware/IT equipment?
Your hardware is ordered by your manager and will be given to you at orientation, by your manager/team, or mailed to you if you are a remote employee.
I received an email from Workday to provide my date of birth and social security number. What should I do?
VHH: Log into your Workday candidate portal and follow the steps provided in the email sent to you.
I received a welcome email to create my USC IT accounts. What should I do?
No action necessary. HR and IT Services will assist with user accounts on your first day.
How do I complete my benefits enrollment?
KMC: Benefits enrollment takes place in Workday within 30 days of hire. You must enroll within 30 days of your hire date. Medical, dental, vision, employer paid life insurance, voluntary life up to the guarantee issue, and Metlife voluntary benefits take effect on the first of the month following date of hire.
You will receive a notification in your USC email to enroll in your benefits through Workday. (In some cases, you may receive this notification before your start date.) Gather all enrollment information (birthdates, Social Security numbers, etc.) and log into Workday from the Employee Gateway to complete enrollment.
You may wish to log into the Workday Help site to consult the user guides on benefits enrollment, and setting up direct deposit, to help you complete these processes.
VHH: A task will appear in your Workday inbox during your first week of employment. Please ensure you review and complete this task within the first 30 days of your employment. For questions related to benefits, please contact the HR Service Center at 213-821-8100 or uschr@usc.edu.

Where do I park on my first day?
KMC: On the first of orientation, all new hires at Keck Medical Center and Norris Cancer Center, are required to park at Keck Valley Parking Lot 41 and will be transported via shuttle to the New Hire Welcome venue. Please follow the “New Hire Orientation Parking” signs to park in the section located on the right side as you enter into the parking lot. Arcadia: On the first of orientation, all new hires at USC Arcadia are asked to park in Lot A. You will need to enter through the Main Entrance and check in at the Information Desk/Security.

VHH: On the first day of orientation, all new hires at USC Verdugo Hills Hospital are required to park in the patient/visitor parking lot and enter through the Main Entrance located on the 4th Floor.

Where do I park after my first day?
KMC: Keck Medicine of USC covers the cost of parking during your employment. Your parking permit will be included in your new hire packet. If you registered late and your permit was not given to you during your New Hire Welcome, then you will need to wait to receive an email notifying you that your permit is ready for pick up. Once you receive that email, you can pick up your permit from the parking office located at LL1 in the Keck Parking Structure.
Arcadia: Employee parking will be discussed on your first day at your New Hire Welcome.
VHH: Parking is free for all employees. Employee parking will be discussed on your first day at your New Hire Orientation.
How do I register for a parking permit?
KMC: Please register for your parking permit through the Pied Parker QR code above. You can also register by using this link below. Https://www.piedparker.com/register.
VHH: Parking permit is not required.
Where do I pick up my parking permit?
KMC: Your parking permit will be included in your new hire packet on Monday. If you did not register or having difficulty registering, we will assist you on Day 1.
